This Participation Policy for the Event or the Seminar (the “Policy”) sets forth the terms and conditions for participation in exhibitions and seminars (collectively, the “Event”) that are organised, produced, managed, or operated by RX Japan GK and, to the extent applicable, its affiliated companies, as well as any partner or other third-party entities that organise, produce, manage, or operate the Event, whether individually or jointly (collectively, the “Organiser”), including any exhibition or seminar organised by a third party in which the Organiser is involved in the management or operation thereof. This Policy also includes the terms and conditions applicable to admission badges (whether paid or free of charge, and including those provided electronically) that are registered for, purchased, or used in connection with participation in the Event. Participants shall participate in the Event in accordance with this Policy.
This Policy shall apply together with any operational rules, guidelines, codes of conduct, policies, and any rules related to the venue or platform, which the Organiser separately establishes or publishes on the Event website or by other means in connection with the Event (collectively, the “Related Rules”). By agreeing to this Policy, participants acknowledge and agree that they are bound by such Related Rules, including any updates thereto.
Definitions
The definitions of the terms used in this Policy shall be as set forth below:
1. “Admission Badge” means any credential or authentication method issued by the Organiser as a result of registration for participation in the Event, which grants eligibility to participate in the Event and is used for access control to and from the venue and for the identification of participants, and which may require payment of a fee depending on the timing of registration or other applicable conditions. Admission Badges include, without limitation, electronic admission badges with a two-dimensional code that are, in principle, provided by email or similar electronic means after completion of registration, as well as those provided in paper form, wristbands, or other physical media.
2. “Credentials” means any and all identification information, including Admission Badges, issued or designated by the Organiser for the purpose of verifying eligibility to participate in or enter the Event. Such Credentials include identifiers, codes, IDs, and other information that identify specific participants or are managed in association with such participants’ pre-registration information or other personal information.
For the avoidance of doubt, an Admission Badge constitutes part of the Credentials and shall be used for confirming eligibility to participate in the Event, controlling access to and from the venue, and identifying participants.
Attendance and Participation
Only pre-registered visitors who are badge holders, visitors who register onsite, and exhibitors who are badge holders will be able to attend the Event.
(*Only those 18 years of age or above are eligible to pre-register.)
Admission is open to professional, business visitors (Including any co-exhibitors, where applicable.), exhibitors and Press, etc. who are involved in or have a direct connection or interest in the subject area of the Event or associated industries or organisations.
Where the Event is held concurrently, at the same venue, together with other exhibitions organised or operated by the Organiser (each, a “Co-located Exhibition”), by agreeing to the Policy of the Event at the time of pre-registration for the Event, each participant shall be deemed to have agreed in advance to the terms and conditions, as well as participation policies, applicable to such Co-located Exhibition, and such terms and conditions and participation policies shall apply to the participant upon such participants’ actual entry into the venue of the relevant Co-located Exhibition.
In addition, where a participant uses any digital services provided by the Organiser (including, without limitation, the RX NOW application and Colleqt), the participant may use such digital services in connection with participation in both the Event and any Co-located Exhibition on a shared and cross-event basis, provided that the participant has agreed, on a one-time basis, to the applicable terms of use or related terms and conditions displayed at the time of registration for, login to, or commencement of use of such digital services, and such agreement shall remain valid and effective.
Data Sharing
Participants acknowledge and agree that, in any of the circumstances set forth below, the Organiser may provide or share participants’ pre-registration information and data including names and contact information (but not limited thereto), with the Organiser’s affiliated companies, exhibitors, sponsors, speakers, suppliers, contractors, media partners, and other related third parties (collectively, the “Third Parties”):
(1) Where, in connection with the Event or any co-located exhibition, a participant, by their own voluntary action or selection, presents, scans, or allows the scanning of a two-dimensional code or other identifier contained in the participant’s Admission Badge or Credentials at exhibitor booths or in areas allocated to Third Parties.
Pursuant to this item (1), any Third Party that receives such pre-registration information or data (including names and contact information, but not limited thereto) may use the participant’s personal information in accordance with such Third Party’s own privacy policy and may contact the participant regarding such Third Party’s products or services.
(2) Where a participant obtains, redeems, or uses a valid registration code, promotional code, discount code, coupon, invitation, voucher, or other similar code in connection with registration for or participation in the Event, including codes issued by a Third Party and obtained or used through a digital service platform managed or provided by the Organiser.
For the avoidance of doubt, the handling of participants’ communication preferences, participant profiles, and other participant information (including names and contact information, but not limited thereto) within digital services provided by the Organiser (including, without limitation, the RX NOW application and Colleqt) shall be governed by the applicable terms of use and privacy policies presented at the time such digital services are accessed or used.
(3) Where, based on a participant’s own choices regarding communication preferences, marketing preferences, profile settings, or other similar settings, the participant authorises the sharing of participant information with Third Parties that wish to provide information about products or services that may be of interest to the participant.
Digital Technologies
Digital Technologies are defined as the Platform; any distribution or technology platforms for any digital aspects to the Event; any on-site or web-enabled technologies, including, but not limited to, on-site Wi-Fi, on-site interactive kiosks, two-dimensional codes, wearable beacon technology and/or RFID technology; and any mobile applications associated with the Event. The Event’s Digital Technologies are neither directed at nor intended for use by Minors under the age of eighteen (18). Organiser does not knowingly collect personal information from individuals under the age of eighteen (18), and if Organiser becomes aware that it has inadvertently done so, Organiser will promptly delete such personal information. All Minor participants are hereby instructed not to access, or participate with in any way, the Digital Technologies unless done so with the express consent of these Terms of Service by their Guardian. Further, Minor Participants under the age of eighteen (18) should only participate in the Digital Technologies under the direct supervision of their Guardian, if such participation is permitted by Organiser in Organiser’s sole discretion.
Badge and Credential Security
- Participants must not allow their badges, Credentials, wristbands, electronic authentication methods, or any other admission or participation credentials to be worn, used, or accessed by anyone else.
- Loaning or transferring, selling, reselling, sharing, or allowing use by others is strictly prohibited.
- Anyone obtaining a badge or other participation credentials by theft, deception, fraud, resale, or other illegal or unauthorized means will likely have such badge or credentials invalidated and may be asked to leave the Event.
- Any failure to comply with this provision, or any provision in this policy, or any unauthorized or improper use of a badge or participation credentials (including use by any person other than the individual to whom such badge or credentials are issued), is likely to lead to the participant and the person wearing the badge or credentials being removed from the Event.
- The Organiser reserves the right, in its sole discretion, to invalidate any badge or participation credentials, refuse admission to the Event, or take other appropriate measures if such badge or credentials are misused, transferred, resold, or otherwise handled in violation of this policy.
Costs Associated with Admission; Refunds
Eligibility to participate in the Event shall be granted through the issuance of an admission badge, credential, or other authorized means of entry, including, without limitation, a two-dimensional code or other electronic authentication method, issued by the Organiser in accordance with the applicable registration procedures established by the Organiser (collectively, the “Admission Badge” or “Credentials”).
The method of issuance, timing of delivery, and other handling of the Admission Badge or Credentials, whether provided in physical form or in electronic form, shall be as determined by the Organiser and as set forth in separate terms and conditions, on the Event website, or through other means designated by the Organiser.
Where the Admission Badge is issued in physical form, ownership of such Admission Badge shall transfer to the participant at the time the Organiser issues and delivers the Admission Badge to the participant. Where the Admission Badge is delivered by shipment, delivery to the participant shall be deemed to have occurred at the time the Organiser delivers the Admission Badge to the designated carrier.
Once an Admission Badge or Credentials have been issued based on a paid registration for the Event,
no changes to such registration or refunds of any fees paid shall be permitted for the convenience of the participant, except where a refund is expressly required by applicable law.
Identity Check
Anyone attending the Event should carry and produce on request of the Organiser a personal photo-ID (e.g., passport, photo-ID driving license, national identity card) or other identification acceptable to the Organiser.
Age Limits
If a minor (under 18 years of age) is to participate in the Event, their guardian must read, understand, and consent to this Policy and the Privacy Policy before granting permission for their participation. In addition, minor(s) must be accompanied by their guardian or accompanying adult. Each guardian or accompanying adult aged 18 or older may accompany up to five minors. In cases where participation by six or more minors is desired, prior consultation with the Organiser is required.
In the case of a minor’s participation, the guardian and the accompanying adult shall be fully responsible for managing and controlling the conduct of the minor(s) during the Event and ensuring that all minors under their supervision comply with this Policy. If the accompanying adult is not minor’s guardian, the accompanying adult must guarantee that such minor’s guardian has read, understood, and consented to this Policy and has consented to the minor’s participation in the Event. If the above conditions are not met, or if the Organiser determines at its discretion that participation is not appropriate for operational reasons, etc., minors may be denied entry.
Service Animals
With the exception of guide dogs, nursing dogs or other service animals, no pets or animals of any description will be allowed into the Event.
Activity
Anyone attending the Event must not take part in any, leafleting, demonstrations, objectionable behaviour or wear offensive apparel or be involved in any activity which may disrupt the Event.
Press
- Press badges at the Event are restricted to publishers, editors, journalists, photographers, and broadcasters associated with the industry.
- All members of the press must wear the armbands distributed by the Organiser.
Photography and Recording
- Photographers and film crew may be taking photographs and recording and/or streaming videos at the Event. Each attendee authorises such photography and recording and permits the Organiser, its parents, affiliates, sublicensees, designees, agents and assignees (including, without limitation, exhibitors or contractors to the Event) to use the attendee’s image, likeness, appearance, and/or voice and to publish, reproduce, portray, distribute and/or otherwise use the image, likeness, appearance, and/or voice in all media formats (whether now known or hereafter existing), worldwide, solely in connection with the distribution, promotion and publicity of both the Event (including future editions thereof) and Organiser’s general business, services or products, without liability, compensation or credit to the attendee. If the attendee is under the age of 18, such attendee’s legal guardian consents on their behalf.
- No exhibitor nor visitor to the Event may take photographs or make any form of recording (including audio or video) on any media at the Event under any circumstances without the prior written permission of the person(s) photographed and/or the manager of subject (of photography), or unless as approved by the Organiser.
Reservation of Rights
The Organiser reserves the right to exclude, remove, ban, or reject a participant from the Event and the venue or to access to any part of the Event, without refund, liability or compensation, who does not comply with this policy or who they reasonably consider is likely to break these rules, or who is likely to behave any illegal, unsafe, offensive or threatened behaviour which Organiser could reasonably consider to be disruptive of the Event or which Organiser determines impact the safety, security, or order of the Event, each in Organiser’s sole and absolute discretion. The Organiser also reserves the right to remove or exclude any suspicious or inappropriate items from the Event and from the venue. Any such determination by Organiser shall be final.
Privacy
By participating in the Event or by submitting information to Organiser in connection with the Event, participant consents to the terms of Organiser’s Privacy Policy, located at https://privacy.rxglobal.com/ and which may be updated by Organiser at any time. A participant’s continued participation in the Event shall constitute a participant’s acceptance of any such updated Privacy Policy. In the event that it is necessary to provide the personal information of a minor under the age of 18 for the Event, the parent or the guardian of such minor shall read and confirm this Privacy Policy before giving his/her consent to the provision of such minor’s personal information. All participants are expected to review the Privacy Policy carefully before participating in the Event and participant acknowledges that, in the Event of a conflict or inconsistency between this Participation Policy for the Event or the Seminar and the Privacy Policy, the terms of the Privacy Policy shall prevail, govern and control.
If participant has questions, comments or requests regarding Organiser’s Privacy Policy or how Organiser processes personal information, participant may also access Organiser’s “Privacy Center” at any time at: https://privacy.rxglobal.com/en-gb/privacy-centre.html.
Safety and Security
Personal belongings must be carried at all times and not left unattended.
Participant’s interactions with third parties, including, but not limited to, guests and other participants in connection with the Event, are solely between participant and such third party. Participant acknowledges and agrees that Organiser will not be responsible for any damages, losses, costs, expenses, or liabilities incurred as the result of such interactions with third parties.
Please inform the Organiser Staff if you find anything unusual, suspicious or out of place.
After the Event, please dispose of your admission badge on the venue or upon your return home, and do not dispose of it in the trash cans outside the venue.
